Conference:  Indiana Healthcare Emergency Preparedness Symposium (IHEPS)
Date held:      September 27-28, 2018 
Hours:                        Participant registration opens at 7:00am both days
Objective:     To inform hospitals, health associations, emergency medical field personnel of real solutions to real problems they may face.  This is a chance for you, as a vendor, to showcase your experience, skills, products, and overall solutions.

For setup:      Thursday, September 27, 2018, from 6:30am-8am
 
Table Gift       We are asking vendors to bring a prize for drawings. Drawings will be done at your table, so bring a bowl or something to collect business cards in.  We will NOT be hosting a bingo drawing this year as vendor feedback has said that signing the cards causes interruption in conversations with potential clients. 
                        You will be responsible for contacting the winner to deliver your prize. 
 
All Vendor spaces will be in the Atrium of the hotel this year.  There will not be walls to prop things against.
Bring extension cords or power strips if you want electricity.

Participant lists will be available for appropriate sponsor levels shortly after the symposium to be able to include last minute of day-of registrants and changes.   
Cargo Shipments:  If you are shipping items to the hotel, here is information for that: The customer is responsible for all arrangements and all expenses associated with the shipping of materials, merchandise, exhibits or any other items to and from the hotel. 
The hotel must be notified in advance of any consignments shipped to the hotel should include: Group Name and Event Name, Name of person(s) authorized to pick up package, Indianapolis Marriott East, 7202 E. 21st Street, Indianapolis, IN 46219.  Storage rental fees and delivering fees will be imposed if the items are delivered prior to the scheduled function as followed:
Boxes   1-15 Pounds,      $3.00 Each Boxes   15-30 Pounds,   $5.00 Each   Boxes 30-100 Pounds, $10.00 Each Oversized Boxes,    $15.00 Crates, $25.00 Equipment of any Type, $25.00 Storage of any boxes more than 7 days prior to conference, $10.00 per box. Delivery of amenities to Guest Rooms will be $3.00 per room The Hotel is not responsible for damage or loss of any items delivered to the Hotel prior to any function, or of any items or packages left on the property after group  departs. Upon request, items left on the premises after departure will be returned to the customer at the customer's expense. Items will be delivered to the exhibit hall for set up.
